Global contract templates can be defined in a central location, and made available for use in local operating units. To define a global contract template, you need to identify your global operating unit, usually the corporate headquarters. The designated global operating unit is responsible for the creation of contract templates that can be used in local operating units. On approval, the contract templates are made available to local operating units.
The global contract templates feature is different from the global clauses. Unlike a global clause, the system does not track 'adoption' of the global contract templates. It is up to the local operating units to determine if they want to duplicate a global contract template. The system allows a local operating unit to duplicate the global contract template subject to the following conditions:
If the global contract template has clauses that are not 'global', these clauses are not copied over during copy.
If the local operating unit is set to adopt clauses automatically, all global clauses will be copied over.
If a local operating unit has adopted clauses manually, only those clauses that have been adopted and approved in the local operating unit will be copied over.
If the local operating unit has localized clauses, the global clauses will be replaced by approved localized clauses during copy.
None of the Contract Expert rules from a global template are copied over. The system will automatically associate any Contract Expert rules defined in the local operating unit with the "Assign to All Templates" property.
The process of creating and using global contract templates includes:
Global Operating Unit profile option: Users must set this site level profile option to determine global operating unit. This is the same profile option that is used to create global clauses.
Global check box in the contract template: To create a global contract template, users must select the Global check box. Once the contract template is approved, it become available in local operating units for copy.
Duplicate Global Contract Templates: Local operating units can search for global contract templates using the search field Owning Operating Unit and selecting the Global radio button. Note that users can preview the global contract template first to ensure that the contract terms meet their requirements. Users in local operating units cannot modify or delete global contract templates.
You can view contract terms in global templates subject to the following exceptions:
Clauses that are local to the global operating unit cannot be viewed by the local operating unit.
Global clauses that have not been adopted or localized cannot be viewed by the local operating unit.
All contract rules in the global operating unit can be viewed by the local operating unit.
Note: Contract Expert rules are not copied over when a global template is duplicated in a local operating unit.
