Use the Applicant Hire and Rehire page to:
Hire external applicants who have application assignments with a status of Accepted.
Hire internal applicants (applicants who are employees in your organization) who have application assignments with a status of Accepted.
Rehire ex-employees in the same business group in which they were previously employed.
When hiring an applicant, the results displayed in the Search page are restricted according to your security profile.
You can use the Person Type field to search for:
All Applicants: This search includes internal applicants who are employees with accepted applications and external applicants with accepted applications.
An internal applicant, who is an employee with an accepted application.
An external applicant with an Accepted application assignment status.
Ex-employee who is not required to have an application.
Note: You cannot view employees whose termination date is later than the system date. For example, John Smith's termination date is 10-Nov-2009. On the system date of 01-Nov-2009, you set the Effective Date to 11-Nov-2009, which is a future date and search for ex-employees. The search results do not include John Smith.
When entering a new person:
If the HR: Cross Business Group and HR: Cross BG Duplicate Person Check profiles are set to Yes, then the application checks for duplicate person records in multiple business groups.
If the HR: Cross Business Group profile option is set to Yes and the HR: Cross BG Duplicate Person Check is set to No, then the application does not search for duplicate person records either across multiple business groups or in a single business group.
For information about the searches that Oracle HRMS performs when you set up the HR: Cross BG Duplicate Person Check and HR: Cross Business Group profile options, see: User Profiles
For more information about the duplicate person check, see: People in a Global Enterprise
If an existing record is found, then a list of the possible matches is displayed in the Potential Duplicate People page. You can do one of the following:
If a potential duplicate exists in outside of the current business group you can create a link between the two records by selecting it. This indicates that they are the same person.
If the potential duplicate exists in the same business group, then when you click on the existing record an error is displayed as you cannot have two record for the same person in one business group.
If this is a new person select No Match to indicate that the new record is not connected to any other records and continue entering information.
You can hire external applicants who have application assignments with a status of Accepted. You can search for external applicants using search criteria such as, last name, vacancy and select the person type of All Applicants or External Applicant.
Provide basic details, phone and address information. You can enter new assignment data, propose a pay, and select a manager for the new employee assignment. You can review the new hire details and submit the transaction for approval, if approvals are setup in your enterprise.
Using Oracle Self-Service HR, managers can hire internal applicants (employee applicants) who apply to internal vacancies in the organization. You can search for an employee applicant who has an accepted application, view details, and hire the employee applicant into an assignment. The security profile attached to your responsibility controls the internal applicants that you can search.
The Select the assignment mode to hire internal applicant region automatically appears when the applicant search results include employee applicants.
You can select any of the assignment modes to hire the employee applicant:
Create Secondary Assignment
This option makes the applicant assignment the employee's secondary assignment. Oracle SSHR makes no change to the existing employee primary assignment. This is the default selection.
The Applicant Hire and Rehire: Assignment page displays the accepted applicant assignment data. Oracle SSHR creates a new secondary assignment with the default data from the accepted applicant assignment. You can propose a new pay for the secondary assignment and change manager, if required. The Applicant Hire and Rehire: Review page displays the Assignment region with current and proposed data.
Make New Assignment Primary
This option makes the new applicant assignment the employee primary assignment. The existing employee primary assignment becomes the secondary assignment.
The Applicant Hire and Rehire: Assignment page displays the accepted applicant assignment data. You can propose a pay for the new assignment and change manager, if required. The Applicant Hire and Rehire: Review page display the Assignment region with current and proposed data. The Primary Assignment field displays information about change in assignment. Current Primary Assignment region also displays the change in assignment information.
Merge with Primary Assignment
This option copies information from the applicant assignment to the employee primary assignment, but does not copy empty fields. For example, if London is defined as the location for the employee primary assignment but a location is not available in the applicant assignment, then London remains the location for the new employee assignment.
When you select the Merge with Primary Assignment option, you can change the existing personal information and accepted applicant assignment details. Oracle SSHR displays the existing salary proposals and disables the Update and Delete buttons for the existing salary proposals that have an effective date prior to the hire date. You can propose a new salary, change the manager for the applicant, and assign new directs to the applicant. The supervisor of the primary assignment is displayed if the accepted application does not have a supervisor. You can select a new supervisor. If there are directs, then you can reassign the directs if required.
The Review page displays the current details and proposed changes. The assignment data that you view in the Proposed region is the data that will merge with the current primary assignment.
Replace Primary Assignment
This option overwrites all fields in the existing employee primary assignment with equivalent fields from the new applicant assignment, even if those fields are empty. For example, if Employee A is a supervisor for the existing employee assignment, but the applicant assignment includes no supervisor information, then the new employee assignment contains no supervisor information.
When you select this option, you can change the existing personal information and accepted applicant assignment details. Oracle SSHR displays the existing salary proposals and disables the Update and Delete buttons for the existing salary proposals that have an effective date prior to the hire date. You can propose a new salary, change the manager for the applicant, and assign new directs to the applicant. The logged in manager is displayed if the accepted application does not have a supervisor and if the 'HR: Self Service Hire and Placement Default Values' profile is set to Yes. You can select a new supervisor. If there are directs, then you can reassign the directs if required.
The Review page displays the current details and proposed changes. The assignment data that you view in the Proposed region is the data that replaces the primary assignment data.
You can review the employee applicant details and submit the transaction for approval, if approvals are setup in your enterprise.
Managers can directly rehire ex-employees into the same organization. Ex-employees are not required to have an application.
Note: You cannot rehire an ex-employee if the final process date for the previous employment is not provided. The rehire date must be later than the final process date.
For an ex-employee, you can view details such as the termination date, leaving reason, and rehire recommendation. You can review these details before processing the rehire.
To rehire the ex-employee, you can update basic details that default from the previous assignment. You can also assign a new manager to the ex-employee. The Review page displays the current and proposed basic details, phone, and address. For assignment data and change manager details, the application displays only the proposed column.
You can review the rehire details and submit the transaction for approval, if approvals are setup in your enterprise.
