Transferring Employees

The Mexican Social Security agencies have a more detailed view of your organization than the state and federal governments. Where the state and federal governments see one or more legal employers in your business group, the Social Security agencies may see many more, smaller employers (represented in HRMS as GREs).

You must report every transfer into and out of a GRE to the Social Security agencies as a hire and termination because they consider the GRE to be your enterprise's employer.

Transfers across GREs can occur at the individual employee level (such as a transfer) or at a location or organization level (such as a reorganization).

Any transfer that requires a change in location is likely to require a change in GRE. Any shift in or addition of a business function within an existing location is also likely to require the assignment of a new GRE.

When you need to establish a new GRE, your Social Security agency will provide you with a new Social Security ID number.

Every employee transfer that involves a change in GRE must have an accompanying Social Security Leaving Reason.

When performing an employee transfer that does not require a change in GREs, no special steps are necessary. Perform the transfer in the Assignment window.

When implementing an employee transfer across GREs:

  1. Perform the transfer in the Assignment window.

  2. Document a Social Security Leaving Reason in the window's Social Security Affiliation tabbed region.

  3. Generate and submit the Employee Separation Report (DISPMAG08) and New Hire Report (DISPMAG02) to report this termination and rehire.

  1. Terminate the employee in the Terminate window.

  2. Select the Further Information field and specify the Social Security Leaving Reason.

  3. Rehire the employee into the new legal employer.

  4. Generate and submit the Employee Separation Report (DISPMAG08) and New Hire Report (DISPMAG02) to report this termination and rehire.
